Booking Process

Our booking process starts with a phone call or a message. Once we’ve listened to your requirements and have successfully built the itinerary exactly how you want it, we then proceed with sending an invoice and stating a deposit amount to confirm the booking.

Once the deposit has been paid (which in essence confirms the booking) we then send through a client booking form, our terms and conditions and the tour dossier which has all the information that you need for your holiday. No piece of information is too small!

Payment details such as final payment dates will be given to you after you’ve booked.

Read below for details on final payments: ‘When do I pay my final balance?’

**If you book within 60 days of the desired date of departure the amount for the deposit will increase as services have to be booked immediately.

A typical deposit made within 60 days prior to commencement of the booked services is around £750 or $1,130 USD per person. This will vary depending on the trip that you are booking.

Our prices include:

  • Certified bilingual guides – a local or Colombian Project appointed tour leader (if applicable)
  • All internal flights as per the client’s request
  • All road transport using private vehicles
  • Sightseeing and city tours where specified in the trip itinerary
  • All meals as specified in the trip itinerary
  • Trekking permits and park fees (national parks, reserves, regional parks etc)
  • Hotel accommodation at a level suitable for the client, usually 3/4-star in major cities and the best possible accommodation in rural or ecological areas, including national parks. All accommodation is on a bed and breakfast basis.
  • Full service camping including porterage (mules or trek team members), chef, tents, sleeping bags suitable for the trek and sleeping mats (trekking tours only)

We will always confirm inclusions prior to you booking any trip with us.

Our prices do not include:

  • International flights
  • Travel insurance
  • Visa expenses
  • Airport departure taxes (these should be included within your international flight ticket cost – check with your provider)
  • Meals not specified in the trip itinerary (sent to you upon booking)
  • Lunches and evening meals in major cities unless specified in our trip itinerary
  • Laundry
  • Personal expenses
  • Alcoholic drinks or beverages
  • Optional trips
  • Tips
  • Separate taxis

Our company account details appear on the invoice (which we send over once you’ve confirmed your intention to book) which you can use to make the international transaction straight to our account. Simple.

Final balances are due no later than 60 days prior to commencement of the booked services.

Bookings accepted  after this time (within 60 days of the commencement of the booked services) require an increased deposit of around £750 or $1,130 USD per person. This will vary depending on the trip that you are booking. Once this deposit is paid you will have to pay the final balance within 7 days of making the deposit.

If final balances are not received within by the specified date as detailed above we reserve the right to cancel your booking without a refund. We hope that this won’t happen though!

Single supplements are available for at competitive prices for those who would like to have their own hotel room or tent during a group tour. During our consultation process we’ll advise you of the single supplement price for that particular tour

Yes you can. You will need a power adaptor if you are coming from Europe as plug sockets are the US-style two-pin variety. Supply in Colombia is 110 volts. Make sure you have the appropriate transformers for your equipment such as laptops.

Some hotels may have adapters for appliances but we recommend that you bring a universal travel adaptor as this isn’t guaranteed.

During our trekking holidays we’ll be passing through areas that have no electricity so therefore we recommend you bring enough spare batteries for cameras, GPS’s etc for at least a couple of days. Some farms now have solar or dynamo generated electricity, but it’s always best to take spare batteries to ensure that none of those stunning landscapes are missed.

Once you’ve booked we’ll be able to tell you exactly how long you’ll be unable to charge spare batteries for.

Our Cancellation policy:

You may cancel a booking at any stage provided it is done so in writing. The notice of the cancellation will only be effective when it is received by us via email. We incur costs from when we receive the booking confirmation so we apply the following scale of charges to cancelled bookings:

60-29 days before departure 30% of total holiday cost

28-10 days before departure 60% of total holiday cost

9 days or less before departure 100% of total holiday cost
